Block and estate management

Block management automation: another thousand units without another block manager.

AI for managing agents in the West Midlands. I build the coordination layer: Section 20 process automation, service charge admin automation, the leaseholder correspondence and the RMC reporting that currently depend on an IRPM-qualified manager remembering. Qube, Arthur and Fixflo integration, not replacement.

The build

How do you reduce admin in property management?

Block management automation as custom systems that sit between your platform and your block managers. Logged and auditable throughout, with human approval on anything that reaches a leaseholder, an RMC director or a regulator. Client money stays in your platform and your process.

Section 20 process automation

Every consultation stage dated from the moment a works proposal is raised: notice of intention, estimates, notice of proposals, expiry. Prompted ahead of every deadline and evidenced for the file.

Service charge admin automation

Budget, demand and year-end milestones scheduled per block, demands and reminders drafted for approval, arrears chased on your rules and reported by block.

Leaseholder correspondence

Leaseholder emails and portal messages triaged, matched to the block, the unit and the open job, and answered from your own records with a manager approving before anything goes out.

Repairs and contractor coordination

Communal repairs logged once, contractors instructed and chased, completion confirmed, and the leaseholders who reported it told without anyone writing the email.

RMC and client reporting

A director-ready update per block (open repairs, compliance position, arrears, spend against budget) produced from your systems rather than compiled by hand.

Connects to: Qube, Arthur, Fixflo, your accounts package and your inbox.

One route in

Three stages

Audit, build, train. Most clients begin with a free discovery call.

Stage 01

The audit

I come to you and interview the people doing the work, not just you.

  • Interview reports and a findings report
  • A phased roadmap and a scope of work naming what’s in, what’s out and what “done” means
  • You keep all of it, whether or not you build anything

Stage 02

The build

Custom systems connected to what you already run: Reapit, Alto, Fixflo, Arthur, Qube, your inbox, your phone.

  • Phased so the business isn’t overwhelmed
  • Logged and auditable throughout
  • Human approval on anything that reaches a tenant, landlord or regulator

Stage 03

Your team, trained on it

A paid training package that follows the build.

  • Your people understand the systems rather than just using them
  • Delivered on the systems built for you, with your own workflows
  • Not a login handover

Data, GDPR and UK residency

Tenant and landlord data

Stays in your systems

Data stays in your systems. UK-hosted where it needs to be. Minimum data necessary by design, we don’t move or copy what the job doesn’t require.

Third parties, in writing

I’ll be explicit about any third party that processes anything outside the UK, in writing, before anything is built.

Logged and auditable

Everything is logged and auditable, which is usually better than what you have now, because a shared inbox isn’t an audit trail.

A person approves

Anything that reaches a tenant, landlord or regulator has a human approval step unless you explicitly decide otherwise.

An honest check

Is this for you?

We'd rather be upfront than waste your time or ours.

Probably a fit if:

  • You're a founder, MD, or decision-maker who knows AI matters and wants it done properly, not patched together.
  • You want capability that sticks: software your team actually uses and skills they keep.
  • You want one partner who builds, advises, and trains, not someone who hands you a slide deck and disappears.
  • You're ready to invest in getting it right the first time.

Probably not if:

  • You're shopping for the cheapest quote. We compete on outcomes, not price.
  • You want a one-off transaction with no follow-through or ownership on your side.
  • You'd rather outsource the thinking entirely. The best results come when we build with you, not just for you.

Thirty minutes about your operation, not a pitch. If it isn’t a fit, I’ll say so on the call.
