Serviced accommodation and short lets

Serviced accommodation automation: three thousand bookings a year without a bigger team.

Serviced accommodation automation, built around how the operation actually runs. I build the coordination layer: the booking changes, the guest messaging, the turnover cleans and the housekeeping coordination that currently run on a WhatsApp group and someone's phone. Connected to your channel manager and your OTA accounts, not replacing them.

The build

How do you automate a serviced accommodation operation?

Custom systems that sit between your channel manager and your people. Guest-facing messages are drafted from your own policies with an approval step until you decide otherwise.

Booking change handling

New, amended and cancelled bookings from every OTA and the channel manager trigger the right changes automatically: the clean rescheduled, access codes updated, the guest told, the calendar reconciled.

Guest messaging

Pre-arrival, check-in, in-stay and checkout messages sent on time and in your voice, routine questions answered immediately from your property notes, and anything unusual escalated to a person.

Turnover cleans and housekeeping

Every checkout produces a clean job with the checklist, the linen count and the deadline, assigned to the housekeeper, chased if unconfirmed and photo-verified before the next arrival.

Maintenance across units

Issues reported by guests or housekeepers logged against the unit, contractors instructed around the booking calendar, and the next guest protected from a known fault.

Occupancy and performance view

Occupancy, average nightly rate, review scores and response times per unit in one place, pulled from the channel manager rather than compiled at the end of the month.

Connects to: Your channel manager, OTA accounts, cleaning apps, your inbox and your phone.

Three stages

Audit, build, train. Most clients begin with a free discovery call.

Stage 01

The audit

I come to you and interview the people doing the work, not just you.

  • Interview reports and a findings report
  • A phased roadmap and a scope of work naming what’s in, what’s out and what “done” means
  • You keep all of it, whether or not you build anything

Stage 02

The build

Custom systems connected to what you already run: Reapit, Alto, Fixflo, Arthur, Qube, your inbox, your phone.

  • Phased so the business isn’t overwhelmed
  • Logged and auditable throughout
  • Human approval on anything that reaches a tenant, landlord or regulator

Stage 03

Your team, trained on it

A paid training package that follows the build.

  • Your people understand the systems rather than just using them
  • Delivered on the systems built for you, with your own workflows
  • Not a login handover

Data, GDPR and UK residency

Tenant and landlord data

Stays in your systems

Data stays in your systems. UK-hosted where it needs to be. Minimum data necessary by design, we don’t move or copy what the job doesn’t require.

Third parties, in writing

I’ll be explicit about any third party that processes anything outside the UK, in writing, before anything is built.

Logged and auditable

Everything is logged and auditable, which is usually better than what you have now, because a shared inbox isn’t an audit trail.

A person approves

Anything that reaches a tenant, landlord or regulator has a human approval step unless you explicitly decide otherwise.

An honest check

Is this for you?

We'd rather be upfront than waste your time or ours.

Probably a fit if:

  • You're a founder, MD, or decision-maker who knows AI matters and wants it done properly, not patched together.
  • You want capability that sticks: software your team actually uses and skills they keep.
  • You want one partner who builds, advises, and trains, not someone who hands you a slide deck and disappears.
  • You're ready to invest in getting it right the first time.

Probably not if:

  • You're shopping for the cheapest quote. We compete on outcomes, not price.
  • You want a one-off transaction with no follow-through or ownership on your side.
  • You'd rather outsource the thinking entirely. The best results come when we build with you, not just for you.

What do operators ask before they book?

Thirty minutes about your operation, not a pitch. If it isn’t a fit, I’ll say so on the call.
