Letting and property management agencies

AI for letting agents: grow the managed book without growing the team.

AI for letting agents, built around how a branch actually runs. I build the coordination layer: the chasing, the certificate cycles, the arrears follow-ups and the out of hours enquiry handling that currently sit with a property manager and a spreadsheet. Reapit, Alto and Fixflo integration, not replacement.

The build

How do you grow a letting agency without hiring?

Letting agency admin automation, built as custom systems that sit between your platform and your people. Every one is logged, and anything that reaches a tenant or landlord has a human approval step.

Maintenance triage

Every report (portal, email, WhatsApp, phone) lands in one queue, is categorised, matched to the landlord's instructions and routed to the right contractor, with the tenant kept informed automatically.

Certificate cycles and compliance dates

Automated compliance tracking for lettings: gas, electrical, EPC, fire and licensing dates tracked against every property, contractors booked ahead of expiry, landlords told what's due, and a live answer to which doors are non-compliant.

Arrears and renewals

Rent due dates watched daily. Late payments chased on a schedule you set, escalated on your rules. Renewals surfaced ninety days out with the paperwork drafted.

Tenancy progression

Referencing, right-to-rent, deposit protection and move-in tasks tracked as one sequence, with the next step prompted and the file updated as each completes.

Out of hours enquiry handling

Applicant enquiries and valuation requests answered immediately, day or night, qualified against your criteria and booked into the diary, so the first responder is always you.

Connects to: Reapit, Alto, Fixflo, your inbox and your phone system.

One route in

Three stages

Audit, build, train. Most clients begin with a free discovery call.

Stage 01

The audit

I come to you and interview the people doing the work, not just you.

  • Interview reports and a findings report
  • A phased roadmap and a scope of work naming what’s in, what’s out and what “done” means
  • You keep all of it, whether or not you build anything

Stage 02

The build

Custom systems connected to what you already run: Reapit, Alto, Fixflo, Arthur, Qube, your inbox, your phone.

  • Phased so the business isn’t overwhelmed
  • Logged and auditable throughout
  • Human approval on anything that reaches a tenant, landlord or regulator

Stage 03

Your team, trained on it

A paid training package that follows the build.

  • Your people understand the systems rather than just using them
  • Delivered on the systems built for you, with your own workflows
  • Not a login handover

Data, GDPR and UK residency

Tenant and landlord data

Stays in your systems

Data stays in your systems. UK-hosted where it needs to be. Minimum data necessary by design, we don’t move or copy what the job doesn’t require.

Third parties, in writing

I’ll be explicit about any third party that processes anything outside the UK, in writing, before anything is built.

Logged and auditable

Everything is logged and auditable, which is usually better than what you have now, because a shared inbox isn’t an audit trail.

A person approves

Anything that reaches a tenant, landlord or regulator has a human approval step unless you explicitly decide otherwise.

An honest check

Is this for you?

We'd rather be upfront than waste your time or ours.

Probably a fit if:

  • You're a founder, MD, or decision-maker who knows AI matters and wants it done properly, not patched together.
  • You want capability that sticks: software your team actually uses and skills they keep.
  • You want one partner who builds, advises, and trains, not someone who hands you a slide deck and disappears.
  • You're ready to invest in getting it right the first time.

Probably not if:

  • You're shopping for the cheapest quote. We compete on outcomes, not price.
  • You want a one-off transaction with no follow-through or ownership on your side.
  • You'd rather outsource the thinking entirely. The best results come when we build with you, not just for you.

What do letting agents ask before they book?

Thirty minutes about your operation, not a pitch. If it isn’t a fit, I’ll say so on the call.
